Leave balances
How to run a leave balances report
This report displays all leave balances for each employee. It's broken down by pay group, department and employee. It can also be downloaded as a CSV file.
1. Go to Reports.
2. Click on Report generator.
3. Select Leave as the report category.
4. Select the Leave balances report.
5. Choose which leave type, paygroup and department you would like to include. You can choose more than one if applicable.
6. Select the period end date.
7. Select whether you would like to display the report or download it as a CSV file.
My employee's leave balance is incorrect
If your employee has a leave balance that is incorrect, please email our Customer Support team helpdesk@smartly.co.nz with the details and the correct balance and we will adjust it for you.
My employee's leave balance looks incorrect but I’m not sure why
If you think one of your employees’ annual leave balances looks incorrect, check their profile settings to make sure they are correct.
1. Go to People > Click the arrow next to the employee's name > Employment and check that their start date is correct.
2. Then, go to their Payments tab. Check that their hours and days are correct if they have standard hours.
3. If they have additional pay rates set up, check if they have been included in Ordinary Weekly Pay in error.
4. Scroll down to Leave entitlements and check that their Weeks Entitlement, Percentage and Payment Method is correct.

Leave adjustments
I have already run the pay but didn't enter my employee's annual leave taken.
If you have paid the employee ordinary hours instead of annual leave, then you can add the leave entry to the next pay and reduce the ordinary hours by the amount of the leave hours. The system will let you enter the correct dates even if it is in the past.
If you didn't pay them any hours for that day, then you can do a manual pay to enter the leave taken and process it when you are ready.
Alternatively you can email the Helpdesk helpdesk@smartly.co.nz and they can make an adjustment in the background for you.
I haven't been entering my employee's leave taken in Smartly.
Email your request through to helpdesk@smartly.co.nz with the total amount of hours that need to be accounted for and they can make a bulk adjustment in the background for you.
My employee has been set up incorrectly in Smartly and now their leave balances are incorrect.
Email the details through to helpdesk@smartly.co.nz and one of our team will contact you to work through correcting the set up and the balances for your employee.
