Getting started

How do I get started with Smartly?

Simply complete our online sign-up form, and our team will give you a call within one working day to go through the next steps. We'll confirm:  

  • How you’d like to provide your employees’ information.

  • If you have current accrued annual leave or sick leave to bring over to Smartly.

  • If you need the Smartly app or any special features set up (e.g., Labour costing, Xero integration). 

  • If you need training and your preferred training date.

How do I transfer my payroll data into Smartly?

Smartly offers two onboarding options:

  • You format and input your own data – You'll handle the formatting and inputting of your payroll data, including exporting everything from your previous provider, formatting your historical staff earnings and leave information, and entering your employee information into Smartly. If you get stuck, we've got easy switching guides that cover everything you need to know to upload your payroll information and employee data from your old provider. Plus, you'll have free access to set up support when you need it. 

  • We format and input your data for you – Your dedicated account manager will run your onboarding process for you, with priority support throughout. We’ll help you export your payroll data from your previous provider, format your data, calculate your leave balances and upload all your information into Smartly. Plus, you’ll have access to unlimited free training sessions. Price for managed onboarding varies depending on the size of your business, contact us to find out more. 

Pricing and plans

What plans do Smartly offer?

Smartly offers two payroll plans:

  • Do-it-yourself – Use our simple payroll software to sort your payroll.

  • We do it for you – Outsource your payroll admin to Smartly’s team of payroll processing experts.

Smartly also offers a People Management add-on to either payroll plan:

  • People Management – Keep track of staff admin tasks such as up-to-date profiles, inductions, policies, certifications, compliance jobs, and contracts.

Can I upgrade my plan after signing up?

Yes, you can easily upgrade from our DIY Payroll plan to our Managed Payroll plan at any time. Simply get in touch with our team and we'll get you moved on to our Managed Payroll plan.

Wanting to add People Management to your payroll plan? That's easy too! Complete the upgrade form or give us a call on 0800 10 10 38 and our team will get you set up.

Does Smartly offer an HR product?

Yes, Smartly's People Management add-on is designed to help small and medium businesses streamline their people admin processes. Track important dates, assign tasks to employees, and store and manage key people admin documents and certifications – all within the same platform you use for payroll. 

Am I locked into a contract?

No, Smartly offers flexible plans meaning you can cancel at anytime. You can find out more about our cancellation policy in our terms of use.

Payroll features and functionality 

Does Smartly offer automated payroll payments?

Yes, with Smartly you can automate your payroll calculations, payday filing, PAYE payments, employee payments and more. Once you've processed your payroll, we'll automatically make all the payments for you, including payments to your employees, IRD and KiwiSaver. We'll even make any deductions like student loan repayments, court fines or child support. If you'd prefer to do these manually, don't worry, that's still an option too. 

Can I allocate payroll costs to different departments or jobs?

Yes, Smartly’s labour costing feature allows you to track employee hours and labour costs by different regions, departments, and jobs, depending on your business needs.

Does Smartly integrate with Xero?

Yes, Smartly integrates with Xero in just a few clicks, ensuring payroll data flows straight into your accounting software. This means:

  • No manual data entry or reconciliation 
  • Instant payroll cost tracking in Xero 
  • Less admin, fewer errors 

Does Smartly make it easy to keep track of my employees leave?

Yes, keeping track of leave is easy, employees can view their leave balances, future balances and put in leave requests on their app. Managers can view requests, edit, approve or decline leave in their app. And it all flows through to payroll. Plus, we use smart tech to take care of all the complex calculations, meaning your employees leave entitlements remain accurate even when their work patterns change.

What reports does Smartly have?

Smartly has a wide range of reports designed to make tracking and reporting on payroll super simple, from things like employee pay summaries to all the necessary reports for IRD. Check out the lists of reports here.

Where can I get payroll support?

Smartly’s NZ-based support team is here to help you by phone on 0800 101 038 or by email at helpdesk@smartly.co.nz from 8am to 6pm, Monday to Friday. You can also access our help centre any time of day where you'll find a range of guides, demos and how-to videos. 

Where can I get employment law support?

We’ve teamed up with Copeland Ashcroft to provide our People Management customers with 15 minutes of free legal advice per issue. With decades of experience providing specialist employment law advice, you’ll have peace of mind knowing you have experts available when you need legal support.

Security and compliance

Does Smartly keep up to date with NZ legislation

Yes, the Smartly product is kept up to date with NZ legislation, including the Holidays Act. When legislative changes to things like the minimum wage, or tax brackets are announced by the Government, the Smartly product is updated to meet the new legislation. We will notify you about any upcoming changes and let you know if any action is required on your end.

Is Smartly a PAYE intermediary?

Yes, if you have chosen our automated payment option, Smartly will act as a PAYE intermediary. This means we handle PAYE obligations on behalf of employers, including tax filings and payments to the IRD. However, if you have opted for our payroll calculator-only option, you will need to manage your PAYE payments manually.

Will my information be kept securely?

Yes, we take the safety and security of our customers data and transactions very seriously. Smartly is backed by Datacom and our product is ISO27001 certified, which means your data has an extra layer of protection. Plus, all your payroll and people information is kept safe and secure in the cloud.

Other

Can my accountant use Smartly on my behalf?

Yes, your accountant can manage your payroll in Smartly with their own login details. If your accountant manages multiple clients in Smartly, they can access a multi-site view that lets them switch between clients as needed.

What bank fees apply?

If you've linked your bank account to your Smartly account to pay your staff, your bank charges for the linking fee. 

  • ANZ: 36 cents per transaction
  • ASB: 36 cents per transaction

  • BNZ: 36 cents per transaction

  • Westpac: 30 cents per transaction 

  • Pay Early (one of the smaller banks): 30 cents per transaction
